Position Title: Executive Coordinator
Position Type: Full-time Role 
Salary: Range is between $50-$60k
Geography: The preferred location for this role is NYC although strong candidates based in other locations will be considered. All staff are currently working remotely and we are remaining responsive to the evolving pandemic

ABOUT THE ROLE

The Executive Coordinator reports directly to the Founder and Chief Executive Officer of BASTA, acting as the CEO’s primary coordinator and being responsible for day-to-day management of the CEO’s calendar and activities to ensure high value time utilization of the CEO in relation to external and internal demands. The EC will assist with and/or manage initiatives out of the Office of the CEO which currently includes supporting the Senior Manager of Alumni Success with multiple facets of alumni programming. The EC will also support the Senior Leadership Team and provide administrative assistance as needed.

RESPONSIBILITIES

CEO Support (70%)

  • Review and filter CEO’s email communications to provide timely responses to inquiries. Prioritize and determine the appropriate course of action, referral, or response while exercising judgment to reflect the CEO’s style and tone
  • Attend key internal and external meetings, in some instances as CEO’s proxy, and take the lead on resolving key tasks and/or following up on outstanding items
  • Brief and update CEO on upcoming meetings and ongoing obligations
  • Draft documents and/or conduct research to further CEO’s work related to Programs or Development
  • Act as liaison to the Board of Directors and provide support to CEO for quarterly board meetings, including preparing materials and reports, attending meetings, taking minutes, and keeping records

Alumni Programming Support (30%)

  • Coordinate the survey lifecycle for BASTA's growing alumni community including monitoring survey completion, sending reminders, and compiling summary survey data
  • Manage the BASTA alumni database and related communication channels, capturing new alumni, and ensuring up-to-date contact information
  • Source, catalog, and maintain alumni resource library of relevant articles, podcast, videos, and websites
  • Provide support for virtual and in-person alumni events

ABOUT OUR IDEAL CANDIDATE

  • You have 2+ years of experience as executive assistant to CEO or other C-level position, OR in a project management function
  • You possess excellent organizational skills and a keen attention to detail. This is balanced with flexibility, emonstrated resourcefulness, and an ability to multitask in setting priorities
  • You have strong verbal and written communication skills and are able to effectively present and execute on innovative ideas. You have experience writing reports and business correspondence and demonstrate outstanding grammar and proofreading skills
  • You have excellent analytical skills and are able to quickly aggregate and synthesize information
  • You take initiative and are self-directed, but also know when to ask for help. You are willing to jump in wherever you are needed
  • You work collaboratively and build effective relationships with internal staff and external partners
  • You possess a high level of professionalism and discretion
  • Bachelor’s degree required
